10 Tips in 10 Minutes: Utilizing the Cloud in Your Law Practice

Utilizing-the-Cloud-in-Your-Law-Practice

Whether your firm is already using cloud applications or considering implementing them, there are some important considerations when it comes to using cloud-based systems. Mobility, modern features, and less IT headaches are all benefits of the cloud, but to implement it properly, stay secure, and maximize improvements, there’s a number of items to be aware of. With all of the compliance requirements and ethical obligations lawyers are bound to, firms need to have a clear understanding of best practices for protecting their clients’ data.

From security best practices to user management and how to test your systems are all covered, we’re giving you actionable advice you can immediately implement to improve your cloud processes. For lawyers who want to take advantage of the cloud while making sure they’re secure and compliant, here are some considerations to keep in mind.

Security measures

Lawyers are required to take reasonable steps to protect clients’ data, so it makes sense to implement as many security measures as you can without going overboard. Two-factor authentication (2FA) should be used where possible to provide further protection and all cloud-based communications and data sharing should be conducted securely.

User management

No matter what security measures you have in place, you still need to train and manage those who will be using the system. The most common issues, especially those related to data loss, occur due to human error. Every firm should take time to adequately train their staff, not just on general usage, but also on password and security best practices. At the top levels, firms should be responsible for user access and management as well as requiring regular password changes.

Testing

When using the cloud, firms should make sure they’re prepared to immediately act on any data loss. Routine testing should be conducted to see what would happen in the event data was corrupted or lost. Additionally, firms should test to assess their employees’ ability to avoid malicious communications.

More firms are headed to the cloud to stay competitive, but it’s crucial to have a clear understanding of what is involved to stay secure and compliant while taking advantage of its benefits.
